CivicStatement ("we," "our," or "us") respects your privacy. This policy describes how we collect, use, and protect your information when you use our service at civicstatement.com.

2Information We Collect

  • Account data: Email, name, and profile information you provide via our authentication provider (Clerk).
  • Usage data: Articles processed, article posts generated, voice samples uploaded, and AI generation history stored in your account.
  • Payment data: Billing is handled by Stripe. We do not store full payment card details; we store only what is needed for subscription and purchase history (e.g., Stripe customer ID).
  • Technical data: IP address, browser type, and similar technical information may be collected for security and operation of the service.

3How We Use Your Information

We use your information to provide and improve CivicStatement: to facilitate article post generation and manage your organization's account and licensing, and to communicate with you (e.g., support, important service updates). We may use aggregated, non-personally identifiable data for analytics and product improvement.

4AI and Third-Party Processing

AI-assisted drafting features use third-party AI services (e.g., OpenAI). Content you submit for AI drafting is sent to these providers to generate content. Their use of data is governed by their respective privacy policies. We do not use your institution's content to train general-purpose AI models for purposes unrelated to providing our service to you.

5Data Retention and Your Rights

We retain your account and statement data for as long as your institution's account is active. You can request a copy of your data or deletion of your account through the app (Settings). After deletion, we remove or anonymize your data in line with our retention practices, except where we must retain it for legal or operational reasons.

6Security

We use industry-standard measures to protect your data: our cloud providers' standard security practices, including encryption in transit and at rest, role-based access controls, and secure authentication. No system is completely secure; we encourage you to use strong credentials and keep your account secure.

7Changes to This Policy

We may update this privacy policy from time to time. We will post the updated policy on this page and update the "Last updated" date. Continued use of CivicStatement after changes constitutes acceptance of the updated policy.
